Agenda/Transportation/Airport Info

1.      Where can I find information on transportation and airports?  Nashville International Airport (Airport Code: BNA), website: https://flynashville.com/

 

2.       Is there an agenda for the Huddle?   A basic agenda is available for viewing by CLICKING HERE. This does not provide detailed information but gives the information you need for planning travel. The mobile app download information will be sent 1 month prior to the National Huddle with detailed information regarding the agenda.

 

3.      Will I receive a more detailed agenda when I get to the conference site?  Attendees will be able to download our mobile app 1 month prior to the National Huddle.

 

Attire

1.       What attire should be worn to sessions and events?  Business casual or Sport Clips attire during sessions and the Welcome Reception.  You may choose to dress according to our themed events:  Welcome Reception on Sunday evening is Carnival themed and the Awards Banquet theme is Sequins & Sneakers or just formal/semi-formal/cocktail.  Meeting rooms are often cold, please bring a sweater or light jacket.

 

Fee/Registration Questions

1.       My Manager is unable to attend.  May I bring a Stylist or Assistant Manager in place of the Manager?  Yes, if pre-approved.  Please refer to question 2 below.

 

2.       If I am substituting someone (e.g. my Manager is unable to attend, and I want to bring a Stylist), do I have to let someone know in advance or do I wait to tell them onsite?  In order for the substitution to be considered as a replacement, you must let us know in advance.  Send an email to Huddlereg@sportclips.com  for approval on the substitution. Each case is reviewed on an individual basis.

 

3.       My store is opening after the Huddle, but I have a Manager, can they attend free?  If your Manager is on your payroll and your store is scheduled by SCI to open before March 31, 2024, yes.  If it does not have a scheduled opening date prior to March 31, 2024 or they are not yet on your payroll, the new Team Member may attend but needs to register under Stylist, Asst. Manager or Coach (if applicable); they do not qualify as a Manager.

 

4.       My spouse is unable to attend, but my business partner will be attending.  Does he/she receive the spouse rate or the regular rate?  The regular rate.

 

5.       My spouse is unable to attend, but my business partner will and must pay the regular amount. Do I get refunded for the spouse, or does the partner only pay the difference? How do I make the switch?  If the spouse has already paid, then yes, a refund can be granted.  If the attendee and the business partner would like to use the money towards the partner’s fee, it is up to them.  They need to notify us of this so that we can make the name change on the registration and charge the additional fee.

 

6.       Is there any charge for registering on site at the Huddle?  Yes.  All roles have an onsite fee.  Please note that to register onsite, the fee will be at its highest.  On site fees begin 4/27/2024 even though the registration may be completed online thru 4/27/2024.  Payment must be received at the time of registration.

 

7.      I have a Coach that also serves as a Manager.  Do I receive a discount for this?  Yes.  If the Coach is a certified Coach, then the fee is $0 for the first month.  There is a fee for each month after the first month. If the Coach is not certified, then the fee will be half the cost of a non-certified Coach fee since he/she is also a Manager.

 

8.      I am a certified Coach, but the system will not let me register and asks for a code.  What do I do?  The codes were sent to the Area Developer for Regional Ccoach for certified Coaches.  Check with your AD/RC for this code.  If he/she does not have the code, contact Huddlereg@sportclips.com for your code.  To qualify for certified, all associated fees must be paid in full.

 

9.   I have a Team Leader Technical Trainer; how should I register her/him?  A role for this is in the registration system online.  The fee is the same as a non-certified Coach.

10.   I am a Team Leader and also the Manager of my Store.  Registration will not allow me to register as both.  How can I do this?  In order for a Team Leader to qualify as a Manager they must be a licensed Stylist and truly manage their store full time.  There are few, if any, rare exceptions to this rule.  In order to qualify, you must contact your Area Developer and have them email their approval to Huddlereg@sportclips.com  Once approved, the role of Manager will be added to your Team Leader role. 

 

11.   How do I register multiple roles? Your primary role should be selected and then any other roles you may fulfill.  Below are a couple of examples but if you are not sure, call (855) 356-0224 for assistance or email Huddlereg@sportclips.com For example, if you are a Coach and Manager, your primary role would be Coach and your additional role would be Manager.  If you are an Area Developer and Coach, your primary role would be AD with an additional role of Coach. 

 

12.   I have to leave Tuesday and cannot attend the awards banquet; do I get a discount?  No.  Discounts are not given for not attending any of the scheduled events.

 

13.   I am a new Team Leader and do not have a Store.  The registration system requires a store number, what do I do?  We have set up a series of Store numbers for Team Leaders without stores.  Please call the Call Center (855) 356-0224 or email Huddlereg@sportclips.com for your temporary Store number.

 

Guests/Children

1.       May I bring a guest?  Yes.  The guest will need to be registered through the registration system online and pay a fee if he/she will be attending the awards banquet.  They are also not allowed to attend the welcome reception if this fee is not paid.

 

2.       May I bring guests to the sessions?  No.  If the guest is a spouse/significant other of an attendee and wants to attend he/she will need to pay the full registration fee.  If the guest has no affiliation with Sport Clips (i.e. sister of an attendee that is not a partner with the attendee, boyfriend of a Stylist/Manager), the guest is not allowed in any of the sessions.  However, the guest can pay to attend the Welcome Reception and Awards Banquet.

 

3.      May I bring my children to the welcome reception and/or awards banquet?  We highly discourage this.  The functions are geared toward adults and children may become restless.  If they do attend, they must pay the registration fees for Guests.

 

4.       Is there a daycare for kids while we are in session?        Please check with the concierge at individual hotels for child service options.

Hotel

1.       Am I required to stay at the host hotel?  We negotiate the best rate possible with the hotel and have a certain amount of blocked rooms set aside for us.  If the room block is not filled, it may cause registration fees to be increased to cover the cost.  Timely transportation has also been a problem staying off site.

 

2.       How will information about potential over-flow hotel be dispersed (information on a backup hotel will be provided)?  When we get to the point of knowing our room block is being fulfilled, we will make an announcement via Game Time Communication to Team Leaders and Area Developers on the over-flow hotel.  It will also be posted on the event website at the same time.

 

3.       Where will the conference be held?  All sessions and registration will take place at the Music City Center in Nashville, TN.

 

Mandatory Attendance

1.       I do not have a store open and will not have one until after the Huddle.  Is it mandatory that I attend the Huddle?  No.  However, it is highly recommended and is a great opportunity for networking with others that have open stores.

 

2.       Are all Store Managers required to attend?  Yes.  Manager attendance is mandatory for all open stores.  Should you choose not to bring your Manager you will be in default of your franchise agreement.

 

3.       If I am substituting someone (e.g. my Manager is unable to attend, and I want to bring a Stylist), do I have to let someone know in advance or do it tell them onsite?  For the substitution to be considered as a replacement, you must let us know in advance.   Send an email to Huddlereg@sportclips.com for approval on the substitution.

4.       Are all Team Leaders required to attend?  Yes, if they have an open store.  However, in the case of a husband/wife team or business partnership, it is only mandatory for one person attend to represent the group.  Should you choose not to attend you will be in default of your franchise agreement.

 

5.       Is session participation mandatory?  Yes.  In some cases where a husband and wife may be attending together, one of the two may decide not to attend a particular session.  This is okay as long as one of them attends.

 

6.      My store is opening just before the Huddle.  Do I still have to attend?  Yes.  Blackout dates have been set around the National Huddle dates and no stores will open during those dates.  Blackout dates are April 26th through May 15th.

 

7.       What if I cannot possibly attend the Huddle?  Please let us know in advance by emailing Huddlereg@sportclips.com with the explanation.  Team Leaders will be required to attend a TLTC2 in Georgetown, Texas to make up for not attending and Managers will be required to attend a Huddle Makeup in Georgetown, Texas.  More information is provided after the National Huddle.

 

Meals

1.       Are meals included?  Hors d’oeuvres are provided during the Welcome Reception on Sunday evening and dinner is included during the awards on Tuesday evening.   All other meals are on your own unless otherwise stated in the program/mobile app.  There are several restaurants from fast foods to elegant dining located within/around the hotels and convention center.

 

2.       I have special needs on meals, what do I need to do to accommodate this?  We offer a meal preference through online registration:  Vegan, Vegetarian, Gluten-Free.  Should any of these three not work for you, please visit the onsite registration booth to discuss your needs.
